Why Master Tables Matter
Imagine this: you’re about to create a new agent, but you don’t want to type the same introduction message again and again. Or worse, you want different agents in different industries to speak consistently, and you don’t want to risk mistakes. That’s exactly why Master Tables exist. They let you prepare two things:- Categories: basically, folders for industries or topics.
- Prompts: the actual messages your agents can use when they talk to customers.
Step 1: Create a Category
Start in the CMS. In the sidebar, click Master Tables.Now click Add Category. A small form will pop up asking for the category name. Examples:
- If you work in real estate, create a category called Real Estate.
- If you’re offering solar panel installations, create one called Solar Panels.
Step 2: Add Prompts to That Category
Once categories are ready, click Prompts inside the Master Tables section. Then click Add Prompt. Here’s where the magic happens. You’ll be asked for:- Greeting → the first thing your agent will say.
- Category → choose the category you created earlier.
- Prompt content → the rest of the script.
- Greeting: “Hi, this is John from DreamHomes Realty.”
- Category: Real Estate
- Prompt content:
“I noticed you’re interested in properties in the downtown area. I’d love to walk you through our current listings and see which ones fit your budget.”
- Greeting: “Hello, this is Ana from EcoSolar Solutions.”
- Category: Solar Panels
- Prompt content:
“We specialize in high-efficiency solar installations that reduce your energy bills by up to 30%. Can I share how our latest panels work?”
Step 3: How This Connects to Creating Agents
Later, when you go to create an AI Agent, you don’t need to start from scratch. Instead, you simply pick a category and assign one of the prompts you’ve already written. Example:If you assign the Financial Services category to a new agent, that agent will instantly have access to prompts like:
“Hi, this is Lisa from Alfa Mortgage. I wanted to walk you through our mortgage process and explain the rates we’re currently offering.” This saves you from typing everything over again, and more importantly, it ensures all your financial services agents are speaking the same way.
Tips from Experience
- Write prompts as if you were talking to a real person on the phone. If it sounds robotic when you read it aloud, rewrite it.
- Keep prompts short. Long speeches at the beginning of a call usually lose people’s attention.
- Update prompts when your offer changes. If your solar panels go from 25% efficiency to 30%, update it once here, and every agent using that prompt is instantly up-to-date.
- Use categories like a library. The more organized they are, the faster you can build new agents later.
